Records what is owed, by whom, by when — then chases it up an escalation ladder as the date approaches and passes, and keeps the evidence.
Deadline tracking is configured by ID360, not switched on from the portal: each tracker carries a sending mailbox, an escalation ladder, and a send-or-draft rule that we agree with you rather than leave to a form. Send the request and we set it up on your account.
Once your tracker is live, the page shows every open obligation grouped by urgency — Overdue first, then Due soon (within 7 days), Upcoming (within 30 days), and Scheduled beyond that.
Press Track a deadline and record what is owed, a category slug that groups the list, the due date, and the contact who owes it. Without a contact email the deadline is tracked but never chased — the row says so.
Reminders climb a ladder of day offsets agreed with us — the default chases at 30, 14, 7 and 1 days before the due date, on the day, then 7 and 14 days after. Only the most current rung ever fires, the sweep runs every 30 minutes, and each row shows exactly which reminder comes next and when.
The 'Chasers written to Drafts' section lists reminders written into the sending mailbox's Drafts folder rather than sent. A contact outside your own domain is always drafted for a person to read and release, unless you asked us to switch on direct sending — reminders to your own staff send automatically.
Mark satisfied closes an obligation; if it repeats, the next instance is created immediately and the confirmation names its due date. Waive stops the chasing without calling it satisfied.
Move date re-arms the reminder ladder against the new date, so rungs that already fired will fire again — a repeat chaser after a date move is by design, and the confirmation says so.
Reminder history on any row lists every chaser ever composed for it — sent, in Drafts, or failed, with the error. The Evidence trail view keeps closed deadlines permanently: who closed each one, when, and how overdue it was at the time.
These are the real states you can hit, and they are not the same thing: an empty list, a read that failed, and a feature that is not built are shown differently in the app on purpose.
What it means: A genuine empty state, not a fault — trackers are provisioned by ID360, and there is no switch in the portal to hunt for.
What to do: Send the request from the contact page; the Deadlines page fills in once your tracker is live.
What it means: A read that did not complete — never an empty list, and the page says so explicitly. Nothing has been changed.
What to do: Press Try again. If it persists, contact support.
What it means: The deadline was recorded without a contact address, so no reminder can go anywhere.
What to do: Waive the row and track it again with a contact email, or ask us to add the address to it.
What it means: The owning tracker is disabled: nothing on it is chased, and adding new deadlines to it is refused.
What to do: Contact support to switch the tracker back on.
What it means: Who counts as outside your business is derived from the contact's address domain against the tracker's sending mailbox, and anything unreadable counts as outside — the rule fails closed to drafting.
What to do: Set that deadline's Reminder delivery to 'Always send', or ask us to change the tracker's rule.
